We are currently seeking to hire an Administrative Assistant.

 

ADMINISTRATIVE ASSISTANT

Job Summary:

The Administrative Assistant will work closely with the team, our community partners, companies we do business with, outside clients and the public.

This includes but is not limited to:

  • Maintaining workflow by studying methods; implementing cost reductions; and developing reporting procedures.
  • Creating and revising systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.
  • Developing administrative staff by providing information, educational opportunities, and experiential growth opportunities.
  • Resolving administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Ensuring operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Providing information by answering questions and requests.
  • Maintaining supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributing to team effort by accomplishing related results as needed.

Duties: (You may not work on all of these tasks.)

  1. Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
  2. Ship printing, promotional items and packages globally for clients using FedEx online tools.
  3. Work on traffic for new print and digital projects including brochures, flyers, web elements, posters, etc.
  4. Use designed templates for marketing materials including brochures, technical bulletins, flyers, and forms.
  5. Distribute posters for presentations, trade-shows, conferences, meetings, etc., design, printing, lamination and cutting.
  6. Maintain all existing materials including marketing materials and give-away items.
  7. Develop packaging designs including, logos, sticker packaging, brochures, etc.
  8. Develop and maintain all corporate branding needs including logos, letterhead, envelopes, business cards, forms, labels, and vehicle decals.
  9. Assist in scheduling all in-house photography services including lighting set-up, group personnel photographs, product photographs, and building photographs.
  10. Assist in the development of advertisements with the creative department.
  11. Scan, create, manipulate, and edit images and photographs for email.
  12. Assemble marketing materials when needed.
  13. Provide proof reading support for all working projects.
  14. Contributes to team effort by accomplishing related results as needed.

Knowledge, Skills and Abilities Requirements:

  1. Well developed ability to multi-task and prioritize, strong organizational skills, knowledgeable of all facets of computer graphics, and detail orientation are of the highest importance.
  2. High level of initiative, resourcefulness, and ability to work autonomously.
  3. Confirmed ability to establish, maintain, and retain loyal relationships with internal Ray Rico Freelance staff as well as outside clients and vendors.
  4. Be energetic, motivational, enthusiastic and maintain ethics with integrity.
  5. Must be a quick learner and thinker and able to complete tasks in a timely fashion.
  6. Must be collaborative and able to work on projects at any stage from concept to completion

Education/Experience:

  • Minimum: Bachelors degree or equivalent combination of education and experience required.
  • Three years related work experience, preferable in graphic design and web design.
  • Computers: must be Mac proficient, command of Adobe Creative Suite: Photoshop, Illustrator, InDesign, a pre-requisite. Knowledge of websites is preferred. Proficient in MS office, e-mail, and internet functions
